Holidays, Time Off, and Leave Policies

This article outlines AmeriPharma’s time-off benefits and how to request them.

Paid Time Off (PTO)

Paid Time Off (PTO) is accrued based on length of service and hours worked. As your tenure grows, so does your annual PTO allowance.

PTO Accrual Eligibility

  1. PTO accrual begins after completing your first 90 days of employment
  2. PTO is accrued weekly based on hours worked, up to 80 hours per pay period

PTO Accrual by Length of Service

3 Months to 1 Year

  1. Annual Allowance: Up to 10 days (80 hours)
  2. Accrual Rate: 0.0385 hours per hour worked
  3. Maximum Accrual: 80 hours

1 Year to 7 Years

  1. Annual Allowance: Up to 15 days (120 hours)
  2. Accrual Rate: 0.0575 hours per hour worked
  3. Maximum Accrual: 180 hours

7+ Years

  1. Annual Allowance: Up to 20 days (160 hours)
  2. Accrual Rate: 0.075 hours per hour worked
  3. Maximum Accrual: 240 hours

PTO Rollover

  1. Unused PTO rolls over into the following year
  2. Employees may carry over PTO up to 1.5 times their eligible annual accrual

Sick Leave

Sick leave is provided to support employee health and family care needs.

Sick Leave Accrual and Eligibility

  1. 40 hours of sick leave are front-loaded after the 90-day probationary period
  2. Sick leave does not roll over into the next year

Sick Leave Usage

Sick leave should be used for:
  1. Personal illness or injury
  2. Doctor’s appointments
  3. Caring for a qualifying ill family member
  4. Attending qualifying family members’ medical appointments

Bereavement Leave

Bereavement leave is available to support employees following the loss of a loved one.

    Bereavement Leave Accrual and Eligibility

    1. 5 days of bereavement leave is frontloaded after 30 days of employment, 3 of which are paid.
    2. Bereavement leave applies in the event of the death of a qualifying family member, including:
      1. Spouse or domestic partner
      2. Parent, child (including reproductive losses), sibling
      3. Grandparent or grandchild
      4. In-laws
    3. Bereavement leave must be taken within three months of the date of death, based on the approval of their manager.

    Holidays

    AmeriPharma observes the following paid holidays:
    1. New Year's Day
    2. Memorial Day
    3. Juneteenth
    4. Independence Day (July 4th)
    5. Labor Day
    6. Thanksgiving Day
    7. Christmas Day

    Holiday Pay Eligibility for Non-Exempt Employees

    1. To qualify for holiday pay, non-exempt employees must work their scheduled shift immediately before and after the holiday.
    2. Non-exempt employees will not receive holiday pay if they:
      1. Call out sick, or
      2. Take unapproved time off on either the preceding or following scheduled shift.
    3. Employees should confirm holiday schedules directly with their manager

    Exception: If an employee has preapproved time off on either shift, they remain eligible for holiday pay.

    Also, non-exempt employees who are scheduled to work on a recognized holiday will receive double time!

    Holiday Pay Eligibility for Exempt Employees

    1. Exempt employees are not eligible for holiday pay
    2. Exempt employees are paid their regular salary for the holiday week, regardless of the holiday


    Unpaid Time Off

    Employees may request unpaid time off during their 90-day probationary period or when available PTO and/or sick leave has been exhausted. Approval of unpaid time off is at the discretion of your manager and is based on operational needs.


    How to Request Time Off


    To put in time off requests, on your Paychex dashboard, click "Request Time Off." Then, select the type of Time Off you're requesting and fill out the information. During your 90 day probationary period, the only time off that you are eligible to request is Unpaid Time Off.


    Q: Does the company provide paid time off for jury duty?

    A: At this time, the company does not provide separate paid hours specifically for jury duty.

    If you are required to serve, you may:

    • Use available PTO, or
    • If no paid time is available, use unpaid leave

    What to do:

    1. Submit your time off request (PTO or unpaid) and clearly note that it is for jury duty
    2. Send a copy of your jury summons to HR through the ticketing system
